Contact Management

A recent study released by the National Association of Realtors (NAR) showed that over 90% of ALL Home Buyers and Sellers are beginning their research from 1-5 YEARS prior to making a move!

There are 5 main systems that are critical for an effective Contact Management system:

  • The ability to track all prospects, clients and customers by their various categories (ie: buyers, sellers, both, sphere, etc.)
  • The ability to track clients and customers as to their various due dates (ie: inspection date, loan commitment date, etc.)
  • A short learning curve to use the system (if it takes you a lot of time to learn, you will not use it)
  • Compatibility and Integration with programs that you are already using (email program, website, etc.)
  • Inexpensive!

Here's the challenge with most Contact Management systems that are on the market:
  1. They do too much! The contact management programs want to be your flyer publisher, your postcard publisher, your CMA manager and more. The challenge with this is that they don't many of them well and if they do them there is not enough flexibility with the programs to make them "your own."
  2. The learning curve is fairly steep! Bottom line on this: if you have to spend too much time learning a system, you simply will not use it. Your dollar productive activity is on lead generation and "belly to belly" with clients, customers and prospects. That's where you should spend your time!
  3. The price is too high: you are already being dragged into or towards too many ancillary services as a real estate agent to have to spend a big chunk of money on your contact management system every month. It should be a reasonable charge - not hundreds of dollars!
  4. Compatibility with what you are already using. Most of the big contact management system suppliers out there have additional downloads or add-ins that you have to get to know to use their services on your PDA, laptop or Pocket PC! Again, that's another cost and learning curve concern. The solution should be a seamless integration with what you are already using: Outlook, Palm, BlackBerry or PocketPC.
